UX Research Repository: Streamlining Knowledge Management in Confluence

In the fast-paced world of UX research, staying organized and maintaining easy access to valuable insights is crucial. We tackled the challenge of efficiently cataloging and retrieving our wealth of studies and tests by creating a centralized UX research repository. This project not only addressed an immediate need but also set the stage for improved knowledge sharing across the company and personal career development.

The Challenge

Upon joining the new company, it became apparent that while individual studies and tests were well-documented, there was no central location to quickly gain an overview of all the research conducted. This decentralized approach made it difficult for team members to access and leverage past findings efficiently.

Taking Initiative

Recognizing this as an opportunity to add value, I decided to spearhead the creation of a research repository. Here's how the project unfolded:

  1. Brainstorming and Research: The process began with a brainstorming session, followed by thorough research. All ideas and findings were consolidated in a Miro board for easy visualization and sharing.
  2. Team Collaboration: Regular discussions with the team ensured that the repository would meet everyone's needs and expectations.
  3. Tool Selection: After experimenting with various options, Confluence emerged as the tool of choice. A template was created and proposed to the team for feedback.
  4. Refinement and Expertise: To optimize the Confluence setup, I sought advice from Joey, our resident Confluence expert, ensuring we leveraged the platform's full potential.
  5. Prototype and Presentation: A final example was built and presented to the entire team, showcasing the repository's structure and functionality.
  6. Data Population: During the holiday season, I took the initiative to populate the repository with all tests and studies from 2024, ensuring a comprehensive start to the new year.

The Repository Structure

The repository consists of two main components:

  1. An Overview Page: A table providing a quick glance at all studies, including method, title, description, responsible person, date, link to detailed information, verification status, team and linked Jira ticket.
  2. Detail Pages: For each study, a detailed page includes the title, problem statement, research goals, owner, date and assets & findings.

The Impact

The creation of this UX research repository has yielded several significant benefits:

  • Rapid Access: Team members can now quickly find and review past studies, saving time and reducing redundant research.
  • Increased Visibility: The repository has improved the visibility of UX research across the company, highlighting its value and impact.
  • Knowledge Sharing: It facilitates better knowledge sharing and collaboration among team members and across departments.
